HubSpot is a comprehensive CRM platform that offers a variety of licenses to suit the needs of different users. Understanding what type of license will be best for your business can make a significant difference in efficiency and operational costs. In this post, we'll discuss the available HubSpot licenses, their pricing, and offer advice on how to choose the right license for your team.

Watch our Video, which will introduce you to HubSpot licenses and their types.

HubSpot License Types

HubSpot offers three main license types:

  • View-Only Seat license (View-Only Seat).
  • Core License (Core Seat)
  • Sales & Service Hub License (Sales & Service Hub Seat).

What you need to know to get started - avoiding surprises

To start, we want to introduce you to potential places where something won't work with licenses as you expect. Watch out for 2 things:

  • As you buy any Enterprise license e.g. Sales Hub then all core seat will cost €75, including those in marketing and service when you have them on Proffesional. Simply any Enterprise license drags the cost of the core seat license up.
  • A core seat license is an editing license - but not 100% - there are places where to build something you need a full sales or service license - this is to create email templates, email sequences, playbooks that is, if an employee is to have access to dedicated sales features of this type you need to buy them a full license - for example you want marketing to do sales emails or you have a sales support employee who creates sequences.

View-Only Seat License.

For whom: Managers, business leaders, people who only need to see data without editing.

Features: View reports, dashboards, KPIs, campaigns, transaction data, sales team status, open tickets.

Price: Free and unlimited in quantity.

Example of use: CFO who monitors key business metrics without editing data. A sales head who analyzes data and monitors the process. A lawyer in a company who reads transaction data for contract preparation. A technical support employee who reads specifications before meeting with a customer.

Core license (Core Seat) - editing license.

For whom: Marketers, CRM administrators, operations specialists, developers, lawyers, technical support, accounting, people who create reports and automation.

Features: Editing data, creating and sending marketing emails, building content on the site, managing integrations and portal settings, generating reports, setting up automation. Simply editing any data in the system.

Price: €45 for HubSpot Professional license and €75 for Enterprise license.

Usage example: a marketing professional who creates and manages marketing campaigns. An employee who creates databases for sales but does not send sequences or make email templates. A person who builds automation and reports. A person who configures fields in the system.

Sales & Service Hub License (Sales & Service Hub Seat).

For whom: Frontline employees who handle customers on the sales or customer service side, who have access to all the tools like email templates, sequencing, goal setting, forecasting their performance. In addition, any manager who not only views the data but actively participates in the processes.

Features: All the features of the Core license plus additional sales and customer service features such as lead rotation, sending sales emails, creating and managing playbooks, creating email sequences, sales forecasting, the ability to assign automatic lead or ticket rotations to an employee.

Price: When paying for one year in advance - Starter 15 EUR, Professional 100 EUR, Enterprise 150 EUR.

Example of use: a sales representative who contacts customers daily, creates offers and manages leads. A customer service rep to whom a ticket is automatically assigned. An employee to whom we set sales goals and include them in the sales forecast.

How to Choose the Right License?

Choosing the right HubSpot license depends on the user's role and daily responsibilities. Here are some tips:

Analysis of Roles and Responsibilities

  • Marketing employees should have Core licenses that allow them to create and manage campaigns but if they are to create emails for sales in templates they must have a full Sales license.
  • Salesreps need Sales Hub licenses to effectively manage contacts and leads.
  • Executives, managers, support staff can use free preview licenses to monitor performance metrics.

Cost Optimization

Not every person on the team needs a full license. Often, a Core or preview license is enough, resulting in significant cost reductions.
