Introduction to HubSpot licenses
HubSpot licenses can be divided into three main categories, depending on the level of access and functionality:
1. free (Free) licenses:
HubSpot allows you to add an unlimited number of free users who can view data in the system. This includes all CRM functions.
Free licenses are ideal for those who only need to view data without making changes.
2 Core licenses (Core Seat):
Core Seat licenses are designed for users who actively edit data in the system but do not work as frontline sales or customer service staff, including:
- They create process automations.
- They prepare reports and analysis.
- They enter data for contacts, transactions or service requests.
Core Seat licenses allow you to edit all data, but they are not designed for employees whose effectiveness is measured by sales or SLA goals for speed of fulfillment and service requests. They are more suitable for back office employees.
Core Seat licenses can be assigned to any employee, whether they are in marketing, sales or customer service, providing additional flexibility in managing access.
3 Paid Seats licenses:
These licenses are dedicated to employees who work directly with customers and we want to measure and account for their work in terms of sales goals met (revenue) or customer service goals (call turnaround times). They include functions such as:
- Setting sales goals, forecasting and monitoring their achievement.
- Access to email sequences and advanced communication tools.
- Automatic assignment of requests or leads (round robin).
- Reporting on customer service quality by measuring targets like SLA.
- Calling with HubSpot
- Access to Help Desk and Vendor Desktop tools.
Paid licenses are aimed at sales and customer service teams, where it is crucial to accurately monitor job performance and access specialized tools that improve ongoing communication with customers.
4 HubSpot Marketing Hub marketing contacts.
In HubSpot, you can have an almost unlimited number of contacts used for various processes. For marketing activities, however, it is necessary to pay additionally for so-called marketing contacts. What are they?
Marketing contacts in HubSpot are those that are actively used in marketing activities, such as email campaigns or remarketing. You have marketing consents for them and send emails to them, conducting active promotional activities.
For contacts without this tag, you can run unlimited sales activities, data editing, automation and reporting in HubSpot. However, you will not send emails to them or use them to synchronize remarketing lists.
How many marketing contacts do you need? Calculate how many customers you send marketing emails to and for whom you have approvals. Optimize the number of contacts you need by excluding those who are inactive, not reading your emails, not engaged. This way you will buy only as many contacts as you actually need.
Additionally, you have the option to manage these contacts on a monthly basis, allowing you to exclude some contacts from your marketing contact list once a month and add new ones the following month.
Remember that tagging a given contact with the marketing contact tag, is independent of the mailing subscriptions it has.

It is worth noting that the Professional license includes 3 seats in the price, and the Enterprise license includes 5. Therefore, it is necessary to purchase additional seats if you need more users than are included in the price.

If you decide to buy all HubSpot solutions in the Professional version, i.e. marketing, sales, customer service, websites and operations Hub, you then get an additional big discount on the whole thing and get the so-called Customer Platform at the price of $1300/month having in it 2000 marketing contacts, 1 full-fee license for sales, 1 full-fee license for customer service, 3 core licenses and access to all HubSpot solutions and functions in the Professional version.
3. Enterprise (Sales, Marketing, Service)
Enterprise provides advanced tools for large companies with multiple teams. Costs:
- Cost of basic license (Core Seat): $75/month.
- Cost of full-fee license (for sales and service): $150/month.
- For the Marketing Professional version, the basic license costs $3600/month and includes 5 core accounts included in the price.
- Additional marketing contacts: USD 100/month for every 10000 contacts (first 10000 included in the license price).
- HubSpot Content Hub - when you buy it on its own without HubSpot Marketing Hub it costs $1500/month and includes 3 basic accounts.
- HubSpot Content Hub - when you buy it together with HubSpot Marketing Hub you get a discount and the whole thing doesn't cost $3600 + $1500, but $3800/month together with 3 basic posts.

If you decide to buy all HubSpot solutions in the Professional version, i.e. marketing, sales, customer service, websites and operations Hub, you then get an additional big discount for the whole thing and get the so-called Customer Platform at the price of USD 4300/month having 10000 marketing contacts, 1 full-fee license for sales, 1 full-fee license for customer service, 5 basic licenses and access to all HubSpot solutions and functions in the Enterprise version.
